Examples of Useful Calendar Event Searches

Calendar Events are defined within Calendars. The advanced search provides quick ways to search for them and to find the objects they are assigned to.

Maintaining Non-Recurring Events

Non-Recurring Events are static, they do not respond to any particular time pattern and must be maintained manually.

Possible Use Cases

  • Your company designates specific dates for housekeeping activities that must be considered for calendar calculations. These dates must be updated every year.
  • In large installations with multiple regions, you must manage many lists of local holidays.

You have two possibilities:

  • You know the name either of the Calendar Event or of one of the Calendars in which the Calendar Event is used.
  • You know the date that is selected by the Calendar Event in the current year

Overview

  1. Use the advanced search to find Calendars in which the Calendar Event is used.

    1. Put your cursor in the global search box without entering anything.
    2. Click Advanced Search on the pop-up that is displayed. The search list with the Filter pane opens up.
    3. Click Add Filter Criteria and add Calendar Events to the filter pane.
  2. Open one of the Calendars to edit it.
  3. From the Calendar Events pane in the Calendar object definition, open the event and modify it.

To Search for a Non-Recurring Event

You must populate at least one of the fields, otherwise the search yields no results.

  1. In Calendar Events, enter the name or part of the name of the event. You can use wildcard characters (* or ?).

    By default, the search uses implicit wildcards at the beginning and at the end of the string you enter. For example, entering EVENT_MAINTENANCE actually triggers the search for *EVENT_MAINTENANCE*.

  2. In Calendar Event Type, select Non-Recurring.
  3. In Maintained, use the options to restrict the list to Calendars that contain expired or soon-to-expire Calendar Events. You can also restrict the list to the Calendar Events that expire within the time frame that you define here. This setting is defined when creating non-recurring Calendar Events.
  4. In Include Calendar Events occurring, restrict the list to events that select dates within the time frame you enter here. You have the following options:

    • Enter dates in both From and To to specify a period.
    • Enter the same date in both fields to filter Calendar Events that contain a specific day.
    • Enter a date in either field to filter Calendar Events with dates from or until a specific date.
  5. Click the Filter button at the bottom of the pane.

    The list of results displays the Calendar objects that contain the Calendar Events that match your criteria.

  6. Click the Maintained from or Maintained until column headers to sort the results chronologically according to the maintenance period of the Calendar Event.
  7. Right-click the Calendar and select Open.
  8. On the Calendar Events pane find the one you want to change and click on the pencil icon. This opens the event-specific pane.
  9. On the Edit Non-Recurring Event pane change the parameters.
  10. Click Apply & Close at the bottom of the pane.
  11. Click Save on the toolbar.

To Search for a Non-Recurring Event Using its Dates

The method described here helps you find Calendar Events in the following situations:

  • You do not know in which Calendars the Calendar Events are used
  • Many Calendar Events are assigned to many Calendars

This method ensures that you find all existing Calendar Events that select dates within the specified period.

  1. In Calendar Event Type, select Non-Recurring.
  2. In Include Calendar Events occurring, specify a period. This option restricts the search to Calendars that contain Calendar Events with dates within that period. You can enter dates in one or in both fields.
  3. Click the Filter button at the bottom of the pane.

    The list of results displays the Calendars with Calendar Events that occur in the time frame that you have defined.

  4. If the list is long, click the Maintained from and Maintained to column header to sort the entries chronologically.
  5. Right-click the Calendar and select Open.
  6. On the Calendar Events pane, find the event that you want to change and click on the pencil icon. The event-specific pane is displayed.
  7. On the Edit Non-Recurring Event pane, change the parameters.
  8. Click Apply & Close at the bottom of the pane.
  9. Click Save on the toolbar.

Searching for Objects that are Affected by a Calendar Event

The execution of certain Jobs must be skipped due to maintenance activities on a particular date due to a Calendar Event. Use this method to search for objects that are affected by a particular Calendar Event.

  1. Start a search for the Calendar Event and open the Calendar object that contains it.
  2. On the Calendar Events pane, right-click the one you need and select Search for Use.

The list of results provides basic information about the objects in which the Calendar Event is used. For example, name, title, type of object, and so on. In Workflows and Schedules, the Used in column provides important information. For example:

Task(3)/Properties/Calendar

  • Task(3) means that the Calendar Event has been assigned to the third task in the Workflow or Schedule.
  • Properties indicates that it has been defined in the Properties of the third task.
  • Calendar indicates that it has been assigned in the Calendar tab.
